How a Bar Zone booking works
We don't take instant bookings online. Every date is confirmed against trailer availability and venue access first — so a request is not a reservation until we confirm it in writing.
1. Send your event details
Share your date, venue, guest count and preferred package. Every enquiry routes centrally.
2. Receive a written quote
We confirm trailer availability, travel, the right package and the agreed drinks menu, then send an itemised quote.
3. Confirm and deposit
Accept the quote and pay the deposit to hold your date. Terms are confirmed with the quote.
4. We set up and serve
We arrive on our own power, set up on level ground with vehicle access, and pour for your guests.
What we need from you
- Event date, start time and approximate finish.
- Venue address and access — gate width and level parking for a dual-axle trailer.
- Estimated guest count and preferred package.
- Agreed drinks menu and any soft-drink preferences.
- Any venue supplier documents or restrictions we should know about.
Venue access review
Both rigs are towed dual-axle trailers. As a planning allowance, ask for roughly 8m × 4m of level ground with vehicle access — this is a planning guide, not a certified dimension for each unit. Send access photos, gate width, turning room and surface details and we confirm whether the site works for your chosen bar.
Off-grid power means no venue plug point is required; it does not mean every site is suitable.
Deposit & balance
A 50% deposit secures your date, with the balance due seven days before the event. We state the actual reservation arrangement for your booking in the quote — we do not calculate a deposit on an undefined or zero-cost Cash Bar booking.
Notice for alcohol-supplying packages
Our planning target is at least three weeks' notice for Cash Bar, Hosted Bar and Drinks Tab so an event licence can be arranged. This is a business planning policy, not a statutory deadline or a guarantee of approval — required permissions and processing time depend on the event and venue.
Licensing for client-supplied drinks
Under Bar & Staff Only the client supplies the drinks and is responsible for any applicable venue or event licensing. Our staff serve but do not sell the client's drinks.
Responsible service
We do not serve anyone under 18 or guests who are visibly intoxicated, and we may stop unsafe service. Bar Zone strictly supports the responsible service and consumption of alcohol. No alcohol is sold or served to persons under the age of 18 in terms of the Liquor Act 59 of 2003.
Your written quote and booking agreement set out the applicable payment, cancellation and rescheduling terms. Please review them before paying.
